1.1 These Terms and Conditions ("Terms") govern your use of the Teachers Guide website, tools, and associated digital services ("the Service"), operated by Teachers Guide Ltd ("we", "us", "our").
1.2 By accessing or using the Service, you agree to comply with and be bound by these Terms.
1.3 If you do not agree with any part of these Terms, you must not use the Service.
1.4 We may amend these Terms at any time. Any changes will be effective when posted on the website, and your continued use constitutes acceptance of the revised Terms.
2.1 Teachers Guide provides schools and educators with the Teachers.guide platform, built around the Educational Intelligence Layer™: the school’s own curriculum, policies, resource library and pupil information inform every output the platform produces. The Service includes, as enabled for each account: the Planning Module and Curriculum Builder; independent work, homework, marking, assessment and report writing tools; pupil tracking, Pupil Leverage Action Points and SEND tools including digital individual support plans; Zones live classroom monitoring with real-time faded scaffolding; senior leadership oversight, shared credit pools, ring-fenced school storage and the Custom AI Module Builder; pupil and caregiver access, including multilingual caregiver interactions and a WhatsApp caregiver route; voice features such as read aloud, dictation and live spoken conversation about set work; management information system interoperability and integrations with Microsoft Office, Google Docs and our Chrome extension; and an integrated library of teaching resources. Features and modules may be added, changed or withdrawn from time to time.
2.2 The Service is currently offered to schools, multi-academy trusts and their staff only. Standalone solo (individual) teacher subscriptions are not offered at this time.
2.3 We reserve the right to modify, suspend, or discontinue any feature or component of the Service at our discretion, provided that such changes do not materially reduce the value of any pre-paid credits or active subscription period.
3.1 You must be at least 18 years old and employed or training within an educational setting to use the Service.
3.2 You agree to provide accurate information during registration and to keep your login credentials confidential.
3.3 You are responsible for all activities conducted under your account.
3.4 If you suspect unauthorised access to your account, you must notify us immediately at admin@teachers.guide.
3.5 We reserve the right to suspend or terminate accounts that breach these Terms, misuse the Service, or cause technical or reputational harm.
4.1 Teachers Guide Ltd operates a credit-based system for AI-powered features. Each AI generation (such as a lesson plan, report, or resource) costs a specified number of credits as determined by us.
4.2 Credits can be purchased in packages through our top-up system. All credit purchases are final and non-refundable.
4.3 Credits do not expire and remain in your account until used.
4.4 Credits allocated as part of a school plan are added to the school's shared credit pool at the start of each billing cycle and are drawn on by the school's staff.
4.5 Certain premium features (such as the Custom AI Module Builder) are only available on active school plans.
4.6 We reserve the right to adjust credit costs for individual features to reflect changes in underlying costs or to ensure fair pricing.
4.7 We reserve the right to monitor usage patterns to maintain system integrity and prevent abuse. Accounts should NOT be shared.
4.8 Where we detect excessive or automated use that breaches this policy, we may issue a warning, restrict access, or suspend the account pending review.
4.9 Users who require higher usage volumes for legitimate educational purposes (e.g. department-wide access) may request a tailored plan by contacting admin@teachers.guide.
5.1 All intellectual property rights in the Service, including but not limited to software, design, branding, and content, remain the property of Teachers Guide Ltd or our licensors.
5.2 Content created using the Service (such as lesson plans or resources) belongs to you, provided it does not infringe third-party rights.
5.3 You grant us a limited, non-exclusive licence to use uploaded materials solely to provide the Service and improve its functionality.
6.1 Credit top-ups are one-time purchases charged at the point of sale.
6.2 School plans are charged in advance at the rate agreed with the school. Pricing is provided following a demonstration; solo teacher subscriptions are not currently offered.
6.3 All fees are listed in GBP and exclude VAT unless otherwise stated.
6.4 Payment is processed via our secure third-party payment provider (Stripe). We do not store credit card details on our servers.
6.5 School plans automatically renew at the end of each billing cycle unless cancelled before the renewal date.
6.6 Any credits included in a school plan are added to the school's credit pool at the start of each billing cycle.
7.1 A school may cancel its plan at any time by contacting admin@teachers.guide.
7.2 Cancellations take effect at the end of the current billing period. Access to plan features continues until the end of the paid period.
7.3 Credit purchases are non-refundable. Credits remain in the account indefinitely and can be used even after a plan is cancelled.
7.4 We may, at our discretion, provide a pro-rata refund for subscriptions if a cancellation request is made within 14 days of the initial subscription purchase and minimal usage has occurred.
7.5 If the Service is terminated by us due to a breach of these Terms, no refund will be issued for either credits or subscription fees.
8.1 You agree not to:
8.1A — Uploads before a DPA is in place. Until a Data Processing Agreement (DPA) is signed for your account, you must not upload or input identifiable information (including full names, addresses, dates of birth, medical information), private data you do not own, or special category data. Where pupil data is referenced on an account with no DPA, you must use anonymised or pseudonymised identifiers (e.g. "Pupil A", initials only).
8.1B — Uploads once a DPA is signed. Once a DPA is signed for your school and you are logged in to that school account, prohibited uploads remain: private data you do not own, and special category data, except where the school's signed DPA expressly permits that processing and the school has a lawful basis for it.
8.2 You are solely responsible for ensuring that any content you upload or input into the Service complies with all applicable data protection laws.
8.3 We reserve the right to remove any content that we reasonably believe contains prohibited data, and to suspend accounts that repeatedly breach this policy.
9.1 We process your personal data in accordance with our Privacy Policy and applicable data protection legislation (UK GDPR and Data Protection Act 2018).
9.2 By using the Service, you consent to the collection, use, and disclosure of your data as described in the Privacy Policy.
9.3 On accounts with no DPA in place, we reserve the right to delete document storage — including lesson plans, saved documents and uploaded files — after 24 hours. You are responsible for downloading or copying any content you wish to retain before it is removed. This does not apply to school accounts operating under a signed DPA; retention for those accounts is governed by the school's DPA and the School Terms & Conditions.
9.4 Voice features (read aloud, dictation and live voice conversation) are delivered using a third-party voice provider. Audio is processed to fulfil your request only, is not stored by us as a recording, and is not used to train AI models. See Section 12D of the Privacy Policy.
9.5 We log application errors and automated-abuse attempts to keep the Service secure and working. See Section 12G of the Privacy Policy.
10.1 The Service is provided "as is" and "as available" without warranties of any kind, either express or implied.
10.2 We do not warrant that the Service will be uninterrupted, error-free, or free from viruses or other harmful components.
10.3 To the fullest extent permitted by law, Teachers Guide Ltd will not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
10.4 Our total liability to you for all claims arising from or related to the Service shall not exceed the amount you have paid to us in the 12 months preceding the claim.
10.5 Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited by law.
You agree to indemnify and hold harmless Teachers Guide Ltd, its officers, employees, and affiliates from any claims, damages, losses, or expenses (including legal fees) arising from your breach of these Terms or misuse of the Service.
12.1 The Service may contain links to third-party websites or services. We are not responsible for the content, accuracy, or practices of third parties.
12.2 Your use of third-party services is at your own risk and subject to their respective terms and policies.
We shall not be liable for any delay or failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to acts of God, war, terrorism, pandemics, cyberattacks, or failures of third-party infrastructure.
14.1 We may suspend or terminate your access to the Service immediately if you breach these Terms or engage in conduct that harms the Service or other users.
14.2 Upon termination, your right to use the Service ceases, and we may delete your account and associated data in accordance with our data retention policy.
15.1 If a dispute arises, we encourage you to contact us at admin@teachers.guide to seek an amicable resolution.
15.2 If informal resolution is unsuccessful, disputes will be resolved through binding arbitration in accordance with the rules of the Chartered Institute of Arbitrators, with proceedings held in London, England.
15.3 Nothing in this clause affects your statutory rights as a consumer.
16.1 These Terms are governed by and construed in accordance with the laws of England and Wales.
16.2 Any disputes arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Teachers Guide Ltd regarding your use of the Service and supersede all prior agreements and understandings.
18A.1 Calls to our business line 020 4652 1500 are answered by an automated reception service. Calls are recorded and transcribed, and we store the name, telephone number, email address and message you provide so that we can respond to your enquiry.
18A.2 Call audio is processed by a third-party voice provider solely to operate the reception service and is not used to train AI models. Recordings and transcripts are retained for up to 12 months and then deleted.
18A.3 The line is intended for business and professional enquiries. Please do not leave pupil personal data, safeguarding information or other special category data in a message.
